If you use Salesmachine with a team, you may need to set account's owners to build portfolios. With portfolios, each teammate can manage his own portfolio and managers can track individual performance.

Why using portfolios

As an end-user (CSM, AM), you would be able to focus on your own tasks and playbooks in the Inbox as the tasks and playbooks are automatically assigned to the owner of the account/contact.

As a manager you would be able to filter accounts by owner (in stages and segments) and visualize reports by owner to track individual performance.

The different ways to create your portfolios

Set owners manually

You can set the owner of an account or contact manually on the profile.
Select a member of your team to set him as the owner:

Set owners in bulk

You can set the account's (or contact's) owner in bulk using segments. Changing owners in bulk is useful to apply changes in your portfolios: new hire, teammate leaving, etc.

1/ Create a segment to list accounts (or contacts) that should be assign to a specific owner.

2/ Click on Actions > Assign owner and select a team member

3/ Save. The selected member will become the owner of all the accounts currently in the segment.

If you need to automate the process (for each new segment entry, set the owner), you should set it up using a playbook (see section below).

Set owners automatically based on customer data

You can set automatically the right owner based on specific conditions of your choice (like MRR or country) or an existing segment using a playbook:

1/ Go to Playbooks and create a new playbook

2/ Define the trigger when the owner should be set (when account enters a segment for example)

3/ Define additional rules to set different owners based on customer attributes or events

Example: Set account's owner based on the attribute: country

When a new account is created on Salesmachine, set owner as Tom is account from France, as Jeremie is account from Spain, as John is account from US.

a) Add the condition Country contains France

b) Add the action 'Change owner'

3) Choose Tom

Repeat this process for the different country/member in different steps.

4/ Save and enable this workflow

Once the workflow is enabled, accounts and contacts will be automatically assigned to team members based on countries.
